Choose ZPL or PDF according to how the label will reach the printer. PDF normally goes through a document-printing workflow; ZPL is a printer-command format that needs a compatible interpreter and delivery path. Renaming a file does not convert one into the other.
There is a documented exception to the usual PDF workflow: supported Zebra equipment can process PDF directly when the appropriate PDF Direct capability is available and enabled. Do not assume that exception applies to every thermal printer.
Match the file and the route
| Label file and route | Required support | Question to settle |
|---|---|---|
| PDF opened in a viewer and printed through a driver | Suitable viewer, printer driver and page settings | Does the page layout match the media? |
| Raw ZPL sent to the printer | Printer understands that language and the delivery path preserves it | Is the exact printer configured for the expected language? |
| PDF sent directly to supported Zebra equipment | Applicable PDF Direct support, installed/enabled as required | Is that capability active on this model and firmware? |
Zebra’s mobile file-delivery guidance explicitly distinguishes printer-language files from PDF files sent through PDF Direct. Its PDF Direct documentation also states that the feature is disabled by default in the documented configuration.
File format and label layout are separate choices
ShipStation’s API documentation lists PDF, PNG and ZPL formats. It separately describes the default 4 × 6 label layout and a Letter-sheet option for PDF and PNG. That is a concrete example of two different decisions: how the label is encoded and how it sits on the page. Label format documentation
A PDF containing a label on a Letter-sized page is not automatically the same print job as a PDF whose page is the label itself. Check the page size and the carrier or platform’s printing instructions before choosing scaling or cropping options.
Keep resolution in the record too
The Zebra ZD400-series specification lists named language support and resolution options, including 203 dpi and optional 300 dpi for the relevant models. The language name alone does not settle every print setting.
For an integration, record the printer model, firmware, resolution, requested label format, requested layout and delivery method. This gives support something concrete to compare when a file prints as text, comes out at the wrong size or fails to produce a label.
Do not assume automatic scaling is harmless. Zebra warns that scaling in PDF Direct can make barcodes unscannable. Follow the shipping platform’s output requirements and validate the actual label before relying on a batch; an on-screen preview is not proof of barcode acceptance.
This article compares published platform and printer documentation, checked October 12, 2026. We did not test printing, barcode scanning or carrier acceptance. It explains how to select a supported workflow without claiming one format universally produces better labels.
